CareOS for Gastroenterology

One system for the entire patient journey — from referral to recall

A structured endoscopy report that is ready before the patient leaves recovery. A closed biopsy loop. Prep instructions that send themselves, at the right time. A Form 17 that never slips through. All on a single patient record and a single calendar — in five languages: Hebrew, Arabic, Russian, English, and French.

What’s in the gastro module

📝 The endoscopy report writer

A colonoscopy or gastroscopy is built from structured pick lists: findings, locations on an anatomical diagram, interventions performed. From that structure, the system automatically generates a procedure report, a discharge summary, and a letter to the referring physician — ready before the patient leaves recovery.

📷 Scope images — in the media tab

Images from the endoscope are attached directly to the relevant finding, with annotation and comment, and embedded in the medical report — and in a patient-friendly version as well. The referring physician sees the polyp, not just a description of it.

🔬 The pathology loop — closed

Biopsy taken → specimen labeled → sent to the lab → result matched back to the procedure → abnormal result flagged → patient notified → surveillance interval set. The system shows at any moment which specimens have not yet come back.

🔁 The recall and surveillance engine

A surveillance interval based on the findings — 10 years for a normal exam, 7–10 for a few small adenomas, 3 for an advanced finding — and an automatic recall queue: a letter, an SMS, a repeat reminder.

Stepped recall: adherence 62% → 88%

🧴 Prep instructions by agent and by slot

Meroken for a morning slot? Picolax for the afternoon? The system sends the correct instructions by SMS or WhatsApp, step by step, with scheduled reminders — including fasting rules and medication holds.

Structured prep journey: −66% same-day cancellations

💉 Nursing and sedation record

Pre-procedure checklist, vital signs, sedation medications with times, Aldrete scoring in recovery, and discharge criteria. All structured, all signed, all in one place.

🖥️ The procedure day board

One screen for the whole unit: who has arrived, who is in prep, who is in the room, who is in recovery, who has been discharged — with room, physician, and scope assignment and timestamps.

📋 Form 17 tracking with alerts

Referral received → Form 17 requested → approved and attached → ready for procedure. A commitment form missing two days before the appointment? The front desk gets an alert — not on the day of the procedure.

⚡ A fast track for positive FIT

A patient with a positive fecal occult blood test is flagged and enters an expedited track: priority scheduling, close follow-up until the exam is done, and an alert if no appointment has been booked.

📊 A quality metrics dashboard for every physician

ADR, cecal intubation, withdrawal time, prep quality — calculated automatically from the structured reports. No manual spreadsheets.

The patient journey: three stages, a checklist for each

The module is built around the patient’s journey through the unit. At every stage — a structured in-system checklist, so no step depends on anyone’s memory.

1

Before the procedureFrom referral to attendance confirmation

  • Referral intake and opening of a procedure track
  • Form 17: requested → approved → attached — with an automatic alert if it is missing two days before the appointment
  • Health and medication questionnaire: blood thinners, diabetes, sleep apnea (STOP-BANG), allergies
  • Pre-sedation physician assessment: ASA classification, airway assessment, sedation plan
  • Prep instructions by agent and by slot — sent by SMS or WhatsApp
  • Scheduled reminders: a week before, two days before, the evening before
  • Attendance confirmation from the patient
2

On the day of the procedureFrom check-in to discharge

  • Check-in and patient identification on the procedure day board
  • Pre-procedure checklist: fasting, medication hold, signed consent, escort
  • Vital signs before starting
  • Safety time-out before scope insertion: identity, procedure, equipment, reversal agents, team
  • Sedation record: medications, doses, times — and vitals every 5 minutes, per the Ministry of Health circular
  • Structured endoscopy report + scope images
  • Recovery: Aldrete scoring until discharge criteria are met
  • Printed discharge summary in the patient’s hand
3

After the procedureFrom the report to the recall

  • Letter to the referring physician — generated automatically from the report
  • Biopsies tracked until the result arrives; an abnormal result is flagged and the patient is notified
  • Surveillance interval set based on the findings
  • The patient enters the recall queue: a letter, an SMS, a repeat reminder when due
  • The physician’s quality metrics update automatically

Every checklist can be customized in the CareOS form designer — add a field, change the order, or add a step, without calling the vendor.

Why ADR is the number that matters in your unit

ADR — the adenoma detection rate — is the percentage of colonoscopies in which at least one adenoma was found. It is the best-established measure of colonoscopy quality: a physician who finds more misses less cancer.

In CareOS, the metrics are a byproduct of the structured report: every finding recorded feeds them automatically. Each physician sees their own numbers, the unit director sees the full picture — and a unit with strong metrics can show them to referring physicians. Measurable quality is also a marketing tool.

Built for Israel

The health funds (kupot) are part of the process, not a footnote. Referrals come from Clalit, Maccabi, Meuhedet, and Leumit. A commitment form (Form 17) is required for every procedure. And at the end — a results letter goes back to the family physician at the health fund. CareOS documents the entire chain, and that return letter is also your growth channel: a family physician who receives a clear, prompt letter refers again.

The national colorectal cancer screening program. People aged 50–74 are invited to an annual fecal occult blood test (FIT) through the health funds, and a positive test requires a colonoscopy. The documented national data show a median of 122 days to completion of the exam, and only about 71% completion. The CareOS fast track was built precisely for that number: flagging, prioritization, and follow-up until the exam is done.

Prep instructions in the patient’s language. Templates for the prep agents commonly used in Israel and for morning/afternoon slots — in Hebrew, Arabic, Russian, English, and French, sent automatically. A patient who understands the instructions is a patient who arrives prepared.

Frequently asked questions

How quickly can we go live?

A structured onboarding process: unit setup, data import, staff training — and you’re working. Most units go live within a few weeks, with close support from us throughout.

Does the module work with the rest of the system?

Yes — that’s the whole point. The same patient record, the same calendar, the same permissions, and the same billing. A regular clinic visit and an endoscopy procedure sit on the same record, with no exporting and importing between systems.

What about our existing data?

We import it. Your patient list, procedure history, and existing surveillance appointments are brought into the system as part of a structured onboarding, so the recall engine starts working from day one — including for past patients.

Is it cloud-based? Do we need a server? An IT person?

Cloud. No server in the unit, no IT person, no manual backups. You connect from a browser, from any workstation. Updates arrive on their own.

How much does it cost?

Pricing is per unit — number of physicians and procedure volume. We won’t publish a number on a marketing page and then surprise you on a call. Request a demo and you’ll receive a clear quote.
